Guidelines for uploads of:
E-Posters, Videos, Free Papers & presentations
· Please ensure your E-Poster file is uploaded by 11:59 PM CEST (GMT+2) on Friday, 1st August 2024. You will receive an email from M-Events with instructions and an upload link shortly — kindly keep an eye on your inbox for the same. Since emails might occasionally be filtered into Junk or Spam folders, we recommend that you check those folders as well, just in case.
When your E-Poster has been successfully submitted you will receive an automated confirmation email.
· All Kiosk E-Posters must be submitted in digital format only; physical posters will not be accepted.
· Submit your presentation file in MS-PowerPoint format (*pptx), adhering to a 16:9 widescreen landscape layout.
If you’re unsure how to select the 16:9 option, please go to PowerPoint, then to Design, then to Slide Size & then select the Widescreen (16:9) option.
· Please note that E-Posters created using Apple Keynote presentations or any other format will not be accepted, neither will E-Posters submitted by email.
· Only one (1) submission per Abstract ID will be accepted.
· File size must not exceed 5 MB.
· Once submitted, no changes or modifications will be allowed after the deadline.
· The file name must follow this format:
Abstract ID – Kiosk E-Poster – Name of Presenting Author (e.g., 154 – Kiosk E-Poster – LucyTan).
Content Guidelines
· The first slide should include the Presenting Author’s Name, Title, Financial Disclosure (if any), and Abstract ID.
· E-Posters must be prepared in English and should be a maximum of eight (8) slides (including the slide containing the Presenter’s Name, Title, Financial Disclosure, and Abstract ID).
· For Case Study Presentations, please ensure that the presentation includes:
Introduction, Aims & Objectives, Background, Case, Conclusion/Clinical Relevance.
· For Case Report Presentations, please ensure that the presentation includes:
Introduction, Aims & Objectives, Materials & Methods, Results, Conclusion.
· Ensure posters are self-explanatory with concise, well-organized text.
· Use high-quality, clearly labelled images and graphics, large enough to show relevant details.
· Avoid animations, embedded videos, and sound; submissions must be in static format only.
· Presentations must not promote commercial products.
Design & Formatting Guidelines
· Use clean, legible fonts such as Helvetica or Times New Roman, with a minimum size of 14 points.
· Choose a simple, uncluttered background; avoid patterns and dark colours that hinder readability.
· Maintain clear spacing between sections and use descriptive headings.
· Avoid overcrowding slides; keep text clear and concise.
· Simple, well-structured posters are more visually appealing and easier to read.
· Check for correct spelling, punctuation, and clarity.
· Use colour combinations for accessibility:
– On light backgrounds (white, yellow, light blue), use dark fonts (black, navy blue, dark green).
– On dark backgrounds (blue, purple), use light fonts (white, yellow, cyan).
– Avoid red or green text/backgrounds as they may be difficult to read.

· The final video file must be named using the following format:
Abstract ID – Video – Name of Author (e.g., 999 – Video – LucyTan)
· Only one (1) submission per Abstract ID will be accepted. If multiple files are submitted, only the most recent version will be considered.
· Recommended Resolution for the video is 1920×1080 Pixel.
· The only accepted file format is MP4 (.mp4).
Content Guidelines
· All videos must be in English.
· The total duration of the video, including the title and credits, must not exceed 4 minutes.
· Videos must include an English audio narration – music alone will not be accepted. Subtitles for the narration are optional but recommended.
· Videos must be self-explanatory and easy to follow without requiring additional context.
· The first slide should include the Presenter’s Name, Title, Financial Disclosure (if any), and Abstract ID.
· Videos must not promote commercial products.
· Please ensure you have the necessary permissions and licenses for any images, video clips, or music used.
This includes: Licenses for copyrighted materials, and Consent forms for patients or individuals identifiable in the content. Any video that uses copyrighted music or material from movies will not be accepted. It is the responsibility of the author to obtain permission from the owner for any music or material that is not ‘Free to Use’. By submitting a video, the author accepts responsibility for all music and material used in their video and is liable for any copyright infringement pertaining to their video.
Design & Formatting Guidelines
· Ensure the video maintains a clear and logical structure, making the content accessible and engaging.
· Simple, well-structured videos are more visually appealing and easier to follow.
· Use clear audio and ensure that visuals are high quality and appropriately credited, where required.

For e.g., if your session is scheduled for 08:00 in the morning, please ensure your presentation is uploaded by the day before—ideally at least 24 hours ahead of your session. Please note that presentations received after this deadline cannot be guaranteed audiovisual support.

Submission Guidelines
- Submissions for Free Papers, E-Posters and Videos will be accepted for the WSPOS 2025 Subspecialty Day Programme.
- You must disclose whether you or any of your co-authors have any financial interest in the subject matter of the presentations. Abstracts submitted without this information will not be considered.
- All abstracts MUST be submitted in the presenting author’s name.
- All abstracts must be submitted in English via the online abstract submission system only. Submissions by email or any other means will NOT be accepted.
- A maximum of 2 abstract submissions per person per category is allowed (max of 2 Free Papers, 2 E-Posters, 2 Videos).
- All submitted abstracts will be reviewed and either accepted or rejected by the Abstract Selection Committee. The committee reserves the right to determine whether a submission will be accepted as a Free Paper or an E-Poster or a Video. The decision of the committee is final & irrevocable.
- If an abstract is accepted as a E-Poster or a Video, the E-Poster or Video will be displayed via Kiosk(s) & will be available for delegates to view at their convenience. However, should an abstract be accepted as a Free paper, it will need to be presented in a session during the subspecialty day programme.
- Once an abstract has been accepted, the participant must complete his / her register in the usual manner. Failing to do so, will result in cancellation of the submission.
- If a paper or poster or video is accepted for presentation, the first author must undertake to present it. The presenter must be a registered delegate at the WSPOS 2025 Subspecialty Day Programme and must pay all the applicable fees. Please note that failure to present without prior notice may influence future acceptance of presentations.
- All accepted abstracts selected will be posted online at www.wspos.org. The abstract will appear exactly as submitted.
- It is the author’s responsibility to submit an abstract with correct spellings and grammar. However, the Abstract Selection Committee reserves the right to edit the abstract if it has significant spelling and / grammatical errors.
- You must ensure that you indicate the type of abstract you are submitting (Free Paper / E-Poster / Video).
- The summary of results presented must be given in sufficient detail to support the conclusions.
- The Abstract Selection Committee will only accept abstracts with final results or conclusions.
- References and credits cannot be included as part of an abstract.
- Formulae should, in general, be avoided.
- When using abbreviations or acronyms for the first time, care should be taken to spell them out in full, with the abbreviation in parentheses after the full word(s) the first time it appears in the text. The abbreviation alone should be used thereafter.
